Manual Check-In Procedures
When to Use Manual Check-In
- QR code won't scan
- Attendee's phone is dead
- Camera malfunction
- Network connectivity issues
- Printed ticket lost
Organizer Manual Check-In
- Open Check-In Dashboard
- Click Attendee List tab
- Search by:
- Full name
- Email address
- Registration ID
- Click attendee name
- Click Check In button
- Confirm check-in
Attendee Self-Check-In (Backup)
If staff unavailable:
- Find registration confirmation email
- Note registration ID
- Report to event desk
- Staff will manually check you in
Offline Manual Check-In
When network is down:
- Write down attendee name and email
- Mark on printed attendee list
- When network returns, bulk upload
- System reconciles automatically
Preventing Manual Check-In
For Attendees:
- Screenshot QR code before event
- Charge phone fully
- Clean phone camera lens
- Increase screen brightness
For Organizers:
- Test cameras before event
- Have backup scanner devices
- Print attendee list as backup
- Train staff on manual process
Time Considerations
Manual check-ins take ~30 seconds vs 3 seconds for QR scans. Plan staffing accordingly.
Pro Tip: Have 1 manual check-in station per 100 attendees as backup!
