Automated Event Reminders
Planadar emails your registered attendees a reminder before the event, with nothing for you to send.
What is sent, and when
Open Event Console → Communicate → Reminders (the same switches are under Settings → Integrations → Email Reminders) and choose:
- 1 week before (off until you switch it on)
- 1 day before (on unless you switch it off)
- 1 hour before (off until you switch it on)
Each reminder goes out once to each attendee, within about 15 minutes of its time. An event that has no saved settings sends the 1-day reminder only. Reminders are only sent for published events.
Who gets it
Registered attendees whose registration is approved and whose ticket is valid. A reminder is not sent to:
- a registration that is still pending approval, or was denied
- a ticket that was refunded in full or was never paid for
- someone who has already checked in
- someone who registered after the reminder was due (they have just received their confirmation, so a reminder minutes later would only repeat it)
- an attendee who switched event reminders off in their email preferences
Someone who holds several tickets for the event gets one email.
What is in it
The standard Planadar reminder design, with your event's logo and colour where your plan allows branding:
- the date and time in your event's own time zone, with the zone named (for example 9:00 AM CDT), so attendees anywhere read the same moment
- the venue, or Online for a virtual event
- a button to the event page, and a link to add it to Google Calendar
- the attendee's check-in QR code
- for an online event, a Join Online button (for a hybrid event, only for attendees who chose to join online)
The time zone is the Timezone you pick when you create or edit the event. If an event has none, its times are written in UTC and say so. The same holds for the registration, ticket, session and announcement emails: every time in an email about your event is written in the event's own time zone. The wording of a reminder cannot be changed yet.
Good to know
- There are no payment reminders. Nothing in Planadar asks an attendee to pay later (a checkout is paid or released within half an hour), so that switch was removed.
- If a reminder fails to send, Planadar tries again up to three times, ten minutes apart. It never sends the same reminder twice.
- Attendees can cancel from the link in the email, which frees the seat for others.
