Budget & Expense Management
Plan what you'll spend, track it against reality, and — because Planadar owns your ticketing — see a true Profit & Loss for the event that generic budgeting tools can't show. Find it in the Organizer Panel under Budget.
Set Your Budget
- Enter a Total Budget and Currency (it defaults to your event's currency so the P&L compares like-for-like).
- Optionally set a Revenue goal, Attendee goal, and Sponsor goal to track progress against.
Track Expenses
- Add expenses with a category (Venue, Catering, Marketing, Staffing, Speakers, Travel, and more), a budgeted and actual amount, vendor, date, and paid status (pending / paid / partial / cancelled / refunded).
- Attach a receipt (image or PDF) to any expense — it shows as a thumbnail or PDF chip.
- Export to CSV for your records or accounting.
- Only approved, non-cancelled expenses count toward spend and the P&L.
Quick-Start Options
- Budget templates: pick your event type (Conference, Workshop, Gala, Virtual, Expo) to instantly create typical category lines from your total budget.
- Draft with AI (Growth): tell it your event type and expected attendees and AI proposes a realistic category split you can preview and apply as planned lines — you stay in control.
Approvals (Optional)
- Submit an expense for approval to route it through review. Pending items are flagged and don't count toward spend until approved; you can Approve or Reject each one.
Profit & Loss (Growth)
The P&L tab fuses your actual ticket revenue (from completed orders, refunds reversed) and paid sponsorships against your actual expenses to show:
- Net position (projected profit or loss), cost per attendee, and break-even tickets (at your average ticket price so far).
- Revenue vs goal and attendees vs goal.
- Budget vs actual by category, with the variance for each.
- Export the P&L to CSV.
If your budget currency differs from your event's ticket currency, the P&L flags it so the figures aren't compared apples-to-oranges.
